Steps
Determine your budget
Before we start, it is important to set a clear budget. This forms the basis for choices regarding the stand size, type of stand (rental or purchase) and any additional wishes.
Intake interview
(2–6 months before the fair)
During the intake interview, we get to know each other, discuss your message and target group, and make an inventory of your wishes. We ask about the exhibition participation, dimensions and type of stand, among other things. If you already have an idea or sketch, this is a useful starting point.
Create stand design
(at least 1 month before the fair)
After the intake, our designers will get to work to create a suitable stand design for you.
- As soon as the design is ready, we first check internally whether it meets the discussed wishes and requirements.
- You will then receive the design from us and you can give your feedback.
- After processing your comments, we will submit the design to you again.
- Only when you approve the design(s), we proceed to the next step: quotation.
Quotation > Assignment
(at least 1 month before the fair)
Based on the approved design, our project manager will draw up a quotation. This can be done for rent or purchase, with any optional parts or services.
After order confirmation you will receive:
- The final design
- Frame drawing and canvas plan
- floor plan
You can submit these documents to the exhibition organization.
Visuals
(start of the fair – 10 working days)
The files for the visuals (canvases, doors, etc.) must be formatted. This can be done in two ways:

- You create the files yourself according to our specifications.
- Upload the files via beurswand.wetransfer.com.
- We do a one-time review and give feedback. Additional review rounds are charged separately.

- You provide logos and images via beurswand.wetransfer.com.
- We prepare the files and send them for review.
- Feedback is processed and the files are finalized.
Please note: at least 10 working days before the fair, all files must be approved, so that we can order and check in time.
Preparation
(start of the fair – 5 working days)
In the preparation phase, we take care of all the practical matters surrounding your trade fair participation. We make a schedule for the assembly and dismantling and, if necessary, coordinate this with you for the installation of devices or machines. We also submit the design to the exhibition organisers and request facilities such as electricity, water, air, data and rigging points. In addition, we take care of transport, logistics, storage and reserve the necessary time slots and access passes.
If special products or parts are needed, they are further developed and produced in this phase.
Exhibition stand construction
(start of the fair -1 to -3 days)
During the construction, we first check the location. We check whether everything is present and in order, such as electricity and facilities. If something is missing or not right, we will arrange this directly with the exhibition organization, keeping you informed at all times.
Then we build up the stand completely: from truss and floor to frames, lighting and visuals. As soon as the stand is ready, we will deliver it to you neatly. You will also receive keys, any remote controls and a brief explanation of the devices.

Fair turning
(stock market start)
The fair can begin! We wish you a successful participation. If something is missing or broken during the fair, please contact your project manager immediately. We will do our utmost to solve it for you quickly.
Stand winding down
(0–2 days after the fair)
After the fair, we will check the stand carefully. We check whether all parts are present and in good condition. Any damage or missing parts will be shared with you.
Then we break down the stand neatly and pack everything carefully for transport. Finally, we take a picture of the empty pitch, so that it is clear that we have left it clean and tidy.
